This policy explains how EXTERMA Pest Management (“EXTERMA”, “we”, “us”) collects and uses personal information when you visit exterma.co.uk, contact us or use our services. EXTERMA Pest Management is the trading name of Abrar Zahran, a sole trader, who is responsible for your personal information.

- Details you give us through our enquiry form, by phone or email: your name, phone number, email address, postcode, enquiry type, the pest problem and any description you provide, and your preferred contact method.
- Details needed to deliver a service: property address, access arrangements, tenant or site contact details provided by landlords, agents or businesses, and records of visits, findings and recommendations.
- Payment and invoicing information where you become a customer.
- Basic technical information needed to deliver the website securely, such as IP address and browser type, processed by our hosting provider.
How we use it
- To respond to your enquiry and provide a quote.
- To arrange, carry out and follow up on pest-management work.
- To keep service records and reports for you and for our own business records.
- To invoice and manage payments.
- To meet our legal and regulatory obligations.
Our lawful bases
We rely on steps taken at your request before entering into a contract, and on performance of a contract, to handle enquiries and deliver services. Who we share it with
We do not sell your personal information. We share it only with service providers who help us run the business, and with others where required by law. Our main providers are:
- Google Workspace, which provides our business email. Enquiries and messages sent to info@exterma.co.uk are stored there.
- Cloudflare, which provides our domain registration and DNS, and hosts this website through Cloudflare Pages. Cloudflare processes technical information such as IP addresses and browser details to deliver and protect the site.
- Cloudflare Turnstile, a security check on our enquiry form that helps block spam and automated abuse. It processes technical information about your browser and device to tell people apart from bots. Cloudflare states that Turnstile does not read the details you type into the form.
- Resend, which delivers enquiries submitted through our website form to our business email. The details you enter pass through Resend so they can reach us, and Resend keeps records of sent emails for a limited period.
These providers process information only to provide their services to us and for the purposes described in this policy.
Some of these providers may process information outside the UK. Where they do, we rely on the safeguards they put in place as required by UK data protection law.
How long we keep it
We keep personal information only for as long as we need it for the purposes described in this policy, including to meet legal, accounting and tax requirements. After that, it is deleted securely.
Your rights
Under UK data protection law you have the right to access your personal information, to have it corrected or erased, to restrict or object to its use, and to data portability in some cases. To make a request, contact us using the details above. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
